In my
opinion, monitoring
employees during working hours
in companies is
essential. However, one important thing is that keeping
the balance between guarding security and personal
privacy. So, let
me give some ideas about monitoring employees in accessing the internet network.
1. Giving the staff advance notice of the monitoring plan and receiving their feedback:
1. Giving the staff advance notice of the monitoring plan and receiving their feedback:
Bosses should explain to their staff about the monitoring
software and the information which this software can give network
administrators and some other managers. They should notify clearly the specific
benefits, such as increasing productivity, improving safety and reducing concerns
about internal fraud or other risks, otherwise it is certain that there is a strong
response from their staff.
2. There are clear and specific guidelines about what behavior is not acceptable:
2. There are clear and specific guidelines about what behavior is not acceptable:
Outlining all situations which may occur is not possible.
If the bosses plan to filter out a few specific sites, such as pornography,
gambling or even other job sites, there is no reason to hide this with their staff.
The employees will work better and be more responsible, if the bosses give them
the more specific and clear instructions about inappropriate behavior. So the employees
will know when they violate the rules of the company. As for personal e-mail or
IM messenger, many employees may not realize that the personal messages not be encoded
may be monitored. Please inform them about this.
3. Balancing reasonably between security and privacy:
3. Balancing reasonably between security and privacy:
It is clear that surveillance is not only simple to see
if there is someone to edit the curriculum resume to send to a bigger company or
not, but also to protect the company from leaking internal information to the competitors,
to limit hackers or viruses, to avoid the abuse and the actions or behavior are
not well suited, or even the security of both countries. However, the bosses should
keep in mind that the excesses of employee monitoring can lead to contradictory
results - such as this might be evidence against the company in litigation related
legal.
Hopefully with a thorough consideration before progress of
the monitoring the use of Internet in the company, the managers will achieve positive
results. As a result, they can restrict and eliminate frauds, risks in business
as well as inappropriate behaviors. On the other hand, they can significantly increase
productivity and morale of their employees.
Hi, nice blog. I definitely agree that it is necessary to announce to staff, that they are being monitored and explain them reasons for that and consequences of their behaviour. I would mention that as you say balancing reasonably makes sense for me, I think that everything that would be exaggerated won’t bring positive result.

When I now read your comments to this articel I thought about the importance of not only setting up rules and communicating them to your employees. I like your reaction and angle on the article. when reading it I think of the communication between management and staff. in community they can reach a level that both parties agree to. then the staff and management is satisfied both with consequences and the monitoring.
